Dear Ms. Adams
I am writing on behalf of "The Chance" - a foreign student exchange organization. I will be supervising your group of students while they are abroad as exchange students. I hope to answer some of your questions in this letter.
I am very happy you've chosen to cooperate with us and we will gladly have the students staying with us. I believe this exchange will be an interesting experience and a lot of fun for us all. I hope the travel conditions have been mutually favorable. I will be waiting at the airport on the 15th of April at 8 AM to pick up the students. They have arranged boarding accomodation on Moniuszki Street where they will stay for seven nights and be provided two meals a day. The facility is equipped with 3-bed rooms with bathrooms inclusive. There is also a shop and cybercafe with internet access, and English software.
You asked about the free-time activities. The city has many attractions for youth: museums, a cinema, a bowling alley, a swimming pool, many cafes, and a park. We hope they will learn a lot about the culture here and they will meet many fascinating people. You also asked what clothes they should take with them - springtime in Poland is very sunny and quite warm, but it's also quite unpredictable and it could rain. Therefore, sstudents should take waterproof shoes and jackets as well as trousers, warm jumpers and small backpacks. Most importantly, however, all students must bring their passport.
Thank you very much for the correspondence. We are all anticipating their arrival. Please feel free to contact me if you have any more questions.
Your sincerely
